ABOUT FILICS
Filics’ mission is to reinvent intralogistics by creating autonomous mobile robots that fundamentally change how material moves. Our double-runner system makes Filics the first and only AMR able to drive through load carriers such as Euro pallets, breaking forklift logic and setting a new standard for efficiency. We are a small, focused team committed to solving hard problems with engineering excellence. All team members are expected to be hands-on and to contribute directly to the company’s mission. Leadership is given to those who show initiative and consistently deliver excellence. Work ethic and strong prioritization skills are important. All team members are expected to have strong communication skills. They should be able to concisely and accurately share knowledge with their teammates.

The car that needs repair, the shipment that gets stuck, the IT device that fails, the event that must be prepared, the vendor that needs coordination, the mailbox that must be checked, or the process that needs to be improved. All of these define how smoothly a company operates.
At Filics, the goal is to remove friction completely. Every topic that influences how the company functions day to day must be handled with reliability and precision. That includes coordinating with external partners, maintaining cars and equipment, managing internal logistics, preparing events, keeping communication channels flowing, and building systems that make work faster.
The challenge is not just to handle issues but to build structure. This means creating clear processes, introducing automations, and continuously improving how Filics operates. It is about being the person who ensures that everything behind the scenes always works.
YOUR ROLE
As Founders Associate you are the operational backbone of Filics. You take full ownership of how the company runs on a daily basis. You make sure that every operational topic is addressed quickly, that processes are reliable, and that people can focus on their work without distraction.
You are versatile and hands-on. You handle a wide range of responsibilities including logistics, maintenance, procurement, IT coordination, event support, and vendor management. When something breaks, you fix it or organize the repair. When something repeats, you automate it. When a new need arises, you create a system to manage it.
Your work defines how Filics operates and how people experience working here. You make sure the company runs efficiently, predictably, and with quality.
You will:
- Take ownership of all internal operations at Filics
- Manage company cars, logistics, and coordination with external partners
- Handle and prioritize operational requests from all teams
- Oversee purchasing, procurement, and supplier management
- Ensure that equipment, tools, and infrastructure function reliably
- Support the execution of internal events, visits, and meetings so that everything runs smoothly
- Monitor and distribute incoming mail and shipments
- Build and improve systems and automations that remove repetitive work and increase speed
- Support cross-functional projects that require execution
REQUIREMENTS
- Highly self-organised with strong time and task management skills
- Extreme ownership mentality and a strong sense of responsibility
- Solution-oriented mindset focused on creating outcomes and solving problems instead of getting stuck in them
- Practices proactive communication as a core value and ensures visibility, alignment, and progress in every situation
- Excellent verbal and written communication skills
- Positive attitude and ability to work well with all teams
- Strong negotiation skills and confidence in managing suppliers and partners
- Ability to prioritise effectively and find pragmatic compromises
- Bias for action and ability to move from idea to execution quickly
- Curiosity to learn new systems, tools, and technologies

- Eye for detail and high standards for quality and reliability
- Doer mentality with creativity and resourcefulness in solving practical challenges
- Consistency in finishing what is started and closing open topics
- Completed university degree or equivalent education that demonstrates structured thinking and analytical ability
- Fluent in English and German
- Open to motivated graduates who bring the right attitude, curiosity, and drive to learn quickly
